Holiday-Week Managed Review Delivered Under Court Deadline

Client: Autonomous vehicle manufacturer (trade secret litigation, December 2023)

Context

Outside Counsel received 40,000+ documents on December 15 with a production deadline of December 29. With Christmas Eve and Christmas Day closures, Counsel needed a complete first-pass review by the end of December 26 to allow internal QC and rolling productions. Missing the window meant missing a court order.

Challenges

  • Stand-up in days: Rapidly deploy and calibrate a review team against the client’s review memo.
  • Holiday staffing: Secure enough qualified reviewers to complete their first pass by Dec 26.
  • Accuracy under pressure: Keep privileged and non-responsive material out of production while preserving time for Counsel’s second-pass QC.
  • Zero downtime: Operate through holiday closures without congestion or delays.

Warp9’s Approach

  • AI-driven prioritization (Reveal)
  • Built responsiveness and privilege models from SME-coded seeds.
  • Prioritized the first 10% of the corpus by highest responsiveness to give reviewers fast coding confidence.
  • Recalibrated after each batch to surface high-value content earlier.
  • Segregated likely privilege for later review, reducing immediate first-pass volume by ~60%.
  • Net effect: eliminated roughly 4–5 full reviewer days during a holiday week.

Operational Excellence

  • Ran a single review shift to avoid database congestion while Counsel was offline.
  • Staffed by a peak team of 18 (15 reviewers + 3 QC reviewers) supported by Warp9’s 24/7 project leads with a 5-minute human response SLA.
  • Proactive technical and operational support ensures zero reviewer downtime.
  • Seamless communication.
  • Multiple Warp9 PMs rotated coverage with a single front door to Counsel: no repeat asks, no gaps, no delays.

Result

First-pass review complete:

Dec 26 (end of day) – one day ahead of Counsel’s internal QC target.

Productions delivered on time (rolling volumes):

  • Vol 1: 8,700 documents (52,000 pages)
  • Vol 2: 205 documents (1,400 pages)
  • Vol 3: 1,300 documents (10,000 pages)

All volumes passed Counsel’s QC with zero reported issues.

Client feedback

“Thank you for helping us meet this deadline with the challenges of the holiday season. Your team made the impossible possible for us, and we’re grateful.”

Counsel also noted this was their first use of AI modeling on a matter; the consultative setup improved clarity, speed, and confidence.

Why it matters?

This engagement demonstrates Warp9’s ability to:

  • Execute high-pressure, high-volume reviews against immovable court deadlines
  • Stand up managed review within days, even during holiday periods
  • Apply AI-powered workflows that materially reduce time and cost
  • Maintain around-the-clock support and seamless handoffs across shifts and time zones
  • Communicate with one team feel – vendor complexity never reaches Counsel
